*DEFINE Desk/View Authorizations
*DEFINE, The University of Texas DEpartmental Financial Information NEtwork, is an interface using the University's mainframe computer. The system is maintained by various departments on the UT Austin campus, including ITS-Applications, the Office of Accounting and Financial Management, the Office of Human Resources, the Purchasing Office, the Budget Office, and Facilities Services. *DEFINE Desk/View Authorizations control which accounts and commands users have access to in *DEFINE, POINT Plus, and other applications. Command access available to users may vary between desk/view combinations depending on how the office manager has set up the authorizations. You can access the *DEFINE Authorization page by clicking the *DEFINE link on the Employee Authorizations section.
The Desk/View screen below lists the employee's Desk, View, and Campus authorizations for specific *DEFINE Office applications.
- The column titled *DEFINE Office refers to the electronic desk that managers and delegates use to maintain authorizations and routing.
- A Desk is a group of people. Desk/view combinations determine which commands you can access. Anyone on the same desk has the same authorization level and can view and/or revise a document equally.
- A View is a group of accounts. In *DEFINE there are three types of views: master views, administrative views, and inquiry views. Views are linked to desks to determine authorization levels. Views are created and maintained with the US1 and IF8 commands.
- Campus refers to the academic institutions that comprise The University of Texas System. Each has an assigned code.
- If the user has a large number of authorizations, a Continue button () may appear at the bottom of the screen. Click the button to view additional entries.
- Use the right-hand scroll bar as needed to view additional entries and the up/down arrows to reverse the order of displayed data.
- To remove an authorization, click the Request Removal link; notifications will immediately be sent to all owners of the related authorization, informing them of the action.
